Implementation of a New WMS System at Astros Logistics: Transition to an Advanced Warehouse Management Platform

Astros Logistics Challenge

Until 2025, Astros Logistics operated a proprietary WMS system. Over time, it evolved into a legacy solution: functionality was expanded in an ad hoc manner, the system became difficult to maintain, and it increasingly constrained the development of warehouse processes.

Key challenges included:

• high dependency on individual IT specialists for system support;
• lack of modern analytics and process optimization tools;
• inability to fully support the “Chestny Znak” digital marking system;
• limited scalability to support business growth and onboarding of new clients.

For a large 3PL operator, these limitations directly affected client onboarding speed, service flexibility, and overall competitiveness.

Solution Selection and Rationale

Astros Logistics faced the task of implementing a modern WMS platform that would fully comply with Russian market requirements and regulatory standards. As a result, ArtWMS was selected.

The key selection criteria included:

• support for the “Chestny Znak” digital marking system and customs bonded warehouse operations;
• regular updates and ongoing technical support;
• extensive customization and enhancement capabilities tailored to the 3PL operating model;
• flexible client service billing functionality;
• a Russian-based developer ensuring compliance with local regulations.

Implementation Process

The implementation project began with the most complex use case — a client with highly sophisticated warehouse operations. The pilot project was launched for Tikkivala at the Gamma warehouse in Saint Petersburg. This approach made it possible to test all critical operational scenarios, including inbound processing, marking, storage, picking, shipping, and billing.

The pilot implementation was successfully completed in March 2025. Following this, the system was gradually rolled out across all Astros Logistics warehouses in Russia: Saint Petersburg, Moscow (Litvinovo), Chelyabinsk, and Novosibirsk.

During the implementation process, the team encountered several challenges:

• configuration of complex integrations with clients’ ERP systems (including 1C with a large number of customized fields);
• accurate data exchange with the Diadoc electronic document management (EDM) system;
• adaptation of data formats to meet the specific requirements of individual consignees, including federal retail chains.

All challenges were resolved through close collaboration with the WMS developer.

Results

Today, ArtWMS is fully deployed across all Astros Logistics warehouses and is used for the majority of clients. The company has implemented a modern, stable, and scalable WMS platform.
